Long-Term Patient Care
First, we treat our patients as lifelong partners in their CPAP Therapy treatment. From the first visit, we establish a partnership to assist our patients to acclimate and adhere to their CPAP therapy with the primary goal of improving their sleep quality, quantity and as a result, their overall health. We do not use a cookie-cutter approach, nor do we treat patients like a number on a constant moving conveyor belt. Each patient is unique, not just in the manifestation of their sleep apnea or other sleep disorder, but in their needs, comfort level, their preferred mask type, and their CPAP device settings.
We take all these variables into account, as well as the shape of their face, preexisting comorbidities, sleep position and patterns, their apnea-hypopnea index (AHI), and their sleep physician’s prescription and recommendations, when working with our patients. We take a tailored approach as the way we sleep best is unique to each person, so from the first visit until their years of CPAP Therapy, we develop a long-term care approach. We get to know our patients, not just to fulfill our 10–12-month insurance obligation, but with the expressed goal of a better night’s sleep which we know leads to better health.
Patient Care beyond what your Insurance Company Requires
Second, we comply with your insurance company’s requirements but that is not our end goal. For most insurance companies, to be eligible for insurance coverage of a CPAP machine, you must use it for a minimum amount of time in the first 90 days of therapy with the following requirements:
- Time: Use the CPAP machine for at least four hours per night
- Frequency: Use the CPAP machine on at least 70% of nights, which is 21 out of 30 consecutive days
- Follow-up: Have a doctor’s appointment between the 31st and 90th day of treatment
If you don’t meet the necessary usage requirements, your insurance provider may not cover the cost of your CPAP machine. DME companies typically work closely with patients to ensure compliance during the initial rental period, which often lasts three to 10 months, to ensure continued insurance coverage. However, after the rental period ends and the machine is fully paid for by your insurance, some DME companies have less motivation to assist with patient’s needs, besides filling resupply orders. Though quality providers will continue to support patients with any ongoing needs.
We also work with a patient’s insurance company directly, if needed, to facilitate and submit coverage of their CPAP equipment. When it comes to insurance coverage, we do our best to provide the patient with the best knowledge and information that was conveyed to us by your insurance provider. We cannot predict the cost of your CPAP Therapy as that is determined by your insurance company, your deductible and the percentage of coverage for DME supplies. But we feel confident after doing this for so many years, we can get close to our best estimate, yet the final price is between the patient and the insurance company. Our staff will communicate and facilitate determining coverage for your CPAP Therapy with the insurance company representatives, but the insurance company makes the final decision.
Ongoing & Trusted Services for Long Term Adherence
Our goal when we started 10 years ago was to set ourselves apart from the way most DME companies approach patient care, so regardless of insurance minimum requirements, we provide consistent support, troubleshooting, answers to patient questions, and advice long after your CPAP unit is fully paid for. We do not provide our patients the bare minimum of services to fulfill their insurance obligations, but we go above and beyond to ensure our patient is getting a better night’s sleep.
We offer the following services to ensure that the patient is not only in compliance of their insurance requirements but that their OSA is being treated effectively and comfortably:
- MULTIPLE TOUCHPOINTS: For new CPAP users, we provide the following number of touchpoints (in person visit, telehealth, or phone call) in the first 3 months, 6 months, 12 months, and then if the patient is doing well and there is no need for changes, we recommend annual visits. In between those visits, we also may reach out regularly by email/phone simply to ask if the patient has any questions or concerns.
- CPAP TRAINING: Our staff meets with the patient to guide them through the process of setting up their machine, connecting the mask to the tubing, and correct placement of the device along with the different patient comfort control settings. Patients will also learn how to properly put on the mask before bed, take it off in the morning, and techniques for a comfortable and consistent seal. Training will also include how to properly clean and sterilize your mask, tubing, and water chamber to prevent bacteria or mold buildup, as well as how to replace filters, mask parts and other components as they wear out.
- TROUBLESHOOTING FOR NEW USERS: Typically, in the first few weeks or months is when most patients will have concerns, questions and growing pains. At those initial visits, we will address issues like mask leaks, skin irritation, dry mouth, or discomfort and teach patients how to troubleshoot these problems and help them find effective solutions. Depending on the remote device data, we will review their sleep data and work with their physicians to optimize therapy, adjust machine settings or suggest mask alternatives.
- MASK FIT GUARANTEE: We offer an unconditional Mask Fit Guarantee with over 200 mask options, proper fitting by our staff on their initial visit as well as ongoing support for our patients. Our Mask Fit Guarantee may increase touchpoints to the above schedule, but we are not satisfied until we find the best fit.
- ONGOING SUPPORT FOR LIFE: Whether you’ve been our patient for 3 months or 3 years or longer, we provide ongoing support for our patients. We are here for them whether they need refitting, product or part replacement, order refills on accessories, as well as answer any of their questions and address any of their concerns.
- REMOTE MONITORING: We provide ongoing remote or in-person monitoring. Our staff builds a relationship of trust and care with our patients, so we can detect any issues and implement doctor-recommended solutions. We provide ongoing support, monitoring, supplies and changes needed or addressing issues regardless of how long you’ve used the equipment.
- 24/7 TECHNICAL SUPPORT: We also offer 24/7 Technical support. If you need technical support after hours, our staff is available to our existing patients twenty-four hours a day, seven days a week to prevent or address treatment failures.
- RESUPPLY PROGRAM: We also have an Online Ordering Resupply Program. Once registered, you will receive a monthly email notification when it’s time to replace your supplies. You will be notified of the supplies which you are eligible for and be able to place an order online. Day or night, rain or shine ordering your supplies has never been easier!
- ONLINE BILL PAY: Everything CPAP offers a convenient option for ordering and paying for replacement supplies. Once registered, you will receive a monthly email notification when it’s time to replace your supplies. - OUR SUPPORT, ADVICE AND PATIENT CARE IS FREE OF CHARGE: As a certified and registered DME company, we are not salesman, but we fill doctor approved prescriptions for CPAP Therapy equipment for those with AHI greater than 5, according to insurance guidelines. CONSISTENT TOUCHPOINTS WITHIN REASON
While we are proud of our consistent touchpoints with our patients during their first year and beyond, we are careful not to go beyond the recommendations and guidelines when communicating with patients. How does this work?
If a doctor recommends CPAP Therapy and the prescription is forwarded to us, we will reach out 3-4 times to ensure they are getting the care their doctor recommended but if they choose not to fill the prescription, that is the patient’s right and freedom. We will not contact the patient again and again, if there is no response from the patient or they choose to forego the recommended therapy, we will then communicate their preference to the prescribing physician.
